One live system in place of a spreadsheet stack

Background

The operator moves cargo across Oman, the UAE and Saudi Arabia with a mix of owned trucks and subcontracted hauliers. Growth had outpaced the tools: operations planned trips in one workbook, finance raised invoices in another, and each branch kept its own version of the customer list.

Takamul was brought in to replace the spreadsheet stack with a single operational and financial system that the whole group could work from.

The challenge

Nobody could answer the simplest commercial question: is this truck, this route, this customer making money? Trip costs, driver advances, fuel and vendor bills were captured in different places and reconciled by hand at month end.

Working across three currencies made it worse. Statements sent to a customer in Dubai rarely matched the ledger held in Muscat.

What we built

Trip management came first: long-haul, local and subcontracted movements are opened, costed and closed in the same flow, with documents attached to the trip record. Invoicing draws directly from closed trips, so nothing is billed twice and nothing is forgotten.

On the finance side we delivered multi-currency receivables and payables with automatic statement generation, and a two-tier payment centre where every release is requested, approved and logged.

How it rolled out

We migrated the open ledger first, ran the new system alongside the spreadsheets for one full close, then switched the branches over one country at a time. Operations staff were trained on the trip screens; finance was trained on the payment centre and statements.

Where it stands today

The platform has processed more than 2,414 invoices and holds 472 customers and vendors on a single ledger across three countries. Profitability dashboards per truck, route and customer are reviewed weekly rather than reconstructed at year end.
